Prerequisites

Before creating a Qualtrics credential, you need to obtain your API token and identify your datacenter hostname from your Qualtrics account. Qualtrics uses API token authentication for all API requests, with the API token sent in the X-API-TOKEN header.

To obtain your Qualtrics API credentials, follow these steps:

  1. Sign in to your Qualtrics account using your administrator credentials.

  2. Navigate to your account settings in the Qualtrics interface.

  3. Look for the Account Settings section, then navigate to Qualtrics IDs or API section.

  4. Your API Token will be displayed in the Qualtrics IDs section. Copy the API token immediately, as it may not be accessible again after you navigate away from the page.

  5. Your Datacenter Hostname will also be displayed in the Qualtrics IDs section. The datacenter hostname is typically in the format <yourdatacenterid>.qualtrics.com (e.g., fra1.qualtrics.com, iad1.qualtrics.com). Copy the datacenter hostname.

  6. Store both the API token and datacenter hostname securely, as you will need them to configure your Nexla credential. The API token is sensitive information and should be kept confidential.

The API token is sent in the X-API-TOKEN header for all API requests to the Qualtrics API. The datacenter hostname determines which Qualtrics datacenter your API requests will be sent to. The API token authenticates your requests and grants access to Qualtrics resources based on your account permissions. If your API token is compromised, you should immediately regenerate it in your Qualtrics account settings. Create a credential in Nexla

  1. After selecting the data source/destination type, click the Add Credential tile to open the Add New Credential overlay.

  1. Enter a name for the credential in the Credential Name field and a short, meaningful description in the Credential Description field.

  2. Enter your Qualtrics datacenter hostname in the Qualtrics Datacenter Hostname field. This should be your datacenter hostname in the format <yourdatacenterid>.qualtrics.com (e.g., fra1.qualtrics.com, iad1.qualtrics.com). The datacenter hostname determines which Qualtrics datacenter your API requests will be sent to. You can find your datacenter hostname in your Qualtrics account settings under Account Settings > Qualtrics IDs.

  3. Enter your Qualtrics API token in the API Token field. This is the API token you obtained from your Qualtrics account settings (Account Settings > Qualtrics IDs). The API token is sent in the X-API-TOKEN header for all API requests to the Qualtrics API. The API token is sensitive information and must be kept confidential.

    If your API token is compromised, you should immediately regenerate it in your Qualtrics account settings. The API token provides access to your Qualtrics account data and should be treated as sensitive information. Keep your API token secure and do not share it publicly.

  4. Click the Save button at the bottom of the overlay. The newly added credential will now appear in a tile on the Authenticate screen during data source/destination creation.

Use as a data source

To create a new data flow, navigate to the Integrate section, and click the New Data Flow button. Select the Qualtrics connector tile, then select the credential that will be used to connect to your Qualtrics account, and click Next; or, create a new Qualtrics credential for use in this flow.

Endpoint templates

Nexla provides pre-built templates that can be used to rapidly configure data sources to ingest data from common Qualtrics endpoints. Select the endpoint from which this source will fetch data from the Endpoint pulldown menu. Available endpoint templates are listed in the expandable boxes below.

List Surveys

This endpoint template retrieves all of the surveys that are owned by the authenticated user from your Qualtrics account. Use this template when you need to retrieve information about all available surveys, including survey IDs, names, and other survey metadata. Check out the API documentation link to view examples.

List Contacts In Mailing List

This endpoint template retrieves members of a mailing list from your Qualtrics account. Use this template when you need to retrieve information about contacts in a specific mailing list, including contact IDs, email addresses, and other contact metadata. Check out the API documentation link to view examples.

  • Enter the mailing list ID in the Mailing List Id field. This should be the unique identifier of the mailing list for which you want to retrieve contacts. The mailing list ID determines which mailing list's contacts will be retrieved.

Once the selected endpoint template has been configured, click the Test button to the right of the endpoint selection menu to retrieve a sample of the data that will be fetched. Sample data will be displayed in the Endpoint Test Result panel on the right, allowing you to verify that the source is configured correctly before saving.

Manual configuration

Qualtrics data sources can also be manually configured to ingest data from any valid Qualtrics API endpoint, including endpoints not covered by the pre-built templates, chained API calls, or custom query parameters and filters. Select the Advanced tab at the top of the configuration screen, and follow the instructions in Connect to Any API to configure the API method, endpoint URL, date/time and lookup macros, path to data, metadata, and request headers.

Qualtrics API typically uses the GET method. The endpoint URL should include your datacenter hostname (from your credential) and the API path (e.g., /API/v3/surveys, /API/v3/mailinglists). For the Response Data Path, use $.result.elements[*] to extract items from the elements array, or $ for single-record endpoints. The API uses next URL-based pagination — set the pagination JSONPath to $.result.nextPage.

Once all of the relevant settings have been configured, click the Next button to proceed with the rest of the data flow configuration, or click Save to save the data source configuration for later use.

Use as a destination

Click the + icon on the Nexset that will be sent to the Qualtrics destination, and select the Send to Destination option from the menu. Select the Qualtrics connector from the list of available destination connectors, then select the credential that will be used to connect to your Qualtrics account, and click Next; or, create a new Qualtrics credential for use in this flow.

Endpoint templates

Nexla provides pre-built templates that can be used to rapidly configure destinations to send data to common Qualtrics endpoints. Select the endpoint to which data will be sent from the Endpoint pulldown menu. Then, click on the template in the list below to expand it, and follow the instructions to configure additional endpoint settings.

Trigger JSON Event

This endpoint template triggers Qualtrics Workflows by routing data to Qualtrics JSON Events using records from a Nexset. Use this template when you need to trigger Qualtrics workflows or actions based on data from your Nexset. Check out the API documentation link to view examples.

  • Enter the Qualtrics JSON Event endpoint URL in the Qualtrics JSON Event Endpoint URL field. This should be the endpoint URL for the Qualtrics JSON Event. You can find this URL in your Qualtrics JSON Event Action Tab. The endpoint URL determines which Qualtrics JSON Event will be triggered.

This endpoint sends data as JSON in the request body to trigger Qualtrics JSON Events in your Qualtrics account. Each record from your Nexset will be sent as a separate API request to trigger a JSON Event in Qualtrics. The request body should contain the event data in the format required by the Qualtrics JSON Event.

The event structure must match the Qualtrics JSON Event's expected format. You can find the JSON Event endpoint URL in your Qualtrics JSON Event Action Tab. Manual configuration

Qualtrics destinations can also be manually configured to send data to any valid Qualtrics API endpoint, including endpoints not covered by the pre-built templates. Using manual configuration, you can also configure Nexla to automatically send the response received from the Qualtrics API after each call to a new Nexla webhook data source. Select the Advanced tab at the top of the configuration screen, and follow the instructions in Connect to Any API to configure the API method, data format, endpoint URL, request headers, attribute exclusions, record batching, and response webhooks.

Qualtrics API typically uses the POST method and expects JSON format for all requests. The request body is typically {message.json} to send the entire Nexset data as JSON, or a custom JSON structure with specific field mappings that match the target endpoint's expected format (e.g., Qualtrics JSON Events).

Save & activate

Once all of the relevant settings have been configured, click the Next button to proceed with the rest of the data flow configuration, or click Save to save the destination configuration for later use. To send the data to the configured Qualtrics endpoint, open the destination resource menu, and select Activate.

The Nexset data will not be sent to the Qualtrics endpoint until the destination is activated. Destinations can be activated immediately or at a later time, providing full control over data movement.
